A Bill of Lading (BOL) is the official legal document that accompanies a vehicle during transport. It serves as a receipt of goods, a contract of carriage between the shipper and the carrier, and a record of the vehicle's condition at both pickup and delivery. The Bill of Lading is the single most important document in any auto transport transaction.
At vehicle pickup, the carrier driver and the vehicle owner (or their representative) jointly inspect the vehicle and document its condition on the Bill of Lading. This inspection records existing damage including scratches, dents, chips, mechanical issues, and the vehicle's overall state. Both parties sign the document, acknowledging agreement on the vehicle's condition at the time of transfer. Photographs are also commonly taken to supplement the written record.
During transit, the Bill of Lading travels with the vehicle and serves as proof that the carrier has legal possession and authority to transport the vehicle. If a carrier is stopped by law enforcement or at a weigh station, the BOL demonstrates that the vehicles on the truck are being legitimately transported under contract.
At delivery, the same inspection process occurs. The driver and the recipient compare the vehicle's current condition against the pickup documentation on the Bill of Lading. Any new damage discovered is noted on the delivery copy of the BOL. This documentation is critical for filing insurance claims — without a properly completed BOL showing damage that occurred during transit, claims become extremely difficult to process.
Vehicle owners should always carefully review the Bill of Lading at both pickup and delivery, ensure all existing damage is accurately documented before signing at pickup, note any new damage on the delivery copy before signing, and retain their copy of the completed document for their records. Never sign a blank or incomplete Bill of Lading, and never allow a driver to rush through the inspection process.
