A Vehicle Condition Report (VCR) is a detailed inspection document that records the physical state of a vehicle at specific points during the auto transport process. While closely related to the Bill of Lading, the VCR provides a more granular, visual record of the vehicle's condition and is an essential tool for protecting both the vehicle owner and the carrier.
The standard Vehicle Condition Report includes a printed diagram of a vehicle (showing top, sides, front, rear, and sometimes interior views) on which the inspector marks any existing damage using standardized notation. Common markings include "S" for scratch, "D" for dent, "C" for chip, "CR" for crack, and "M" for missing part. Each mark is placed on the diagram at the location corresponding to where the damage exists on the actual vehicle.
The VCR is completed twice during a standard transport: once at pickup and once at delivery. At pickup, the carrier driver walks around the vehicle with the owner and documents every pre-existing imperfection. This baseline record establishes what damage existed before the carrier took possession. At delivery, the process is repeated. By comparing the pickup and delivery reports, any damage that occurred during transit becomes immediately apparent.
Best practices for the vehicle condition report include conducting the inspection in good lighting, checking all glass surfaces for chips and cracks, opening and closing all doors to check for alignment issues, testing that the vehicle starts and runs (for running vehicles), documenting the odometer reading, noting tire condition and pressure, and photographing all four sides plus the roof and interior. Digital VCR platforms are increasingly common, using smartphone photos with GPS-stamped timestamps to create tamper-resistant records.
Refusing to complete a vehicle condition report or rushing through the process is a significant red flag. Reputable carriers welcome thorough inspections because they protect the carrier from false claims as much as they protect the vehicle owner from undetected damage.
